Accepted Payment Methods

Vadilla accepts a range of payment methods to serve our customers throughout the United States. All payments are processed securely at checkout through Shopify Payments and trusted third-party processors.

Credit & Debit Cards

All major card networks accepted for orders. All card payments are processed by our PCI DSS Level 1 certified payment processor.

VisaMastercardMaestroAmerican ExpressUnionPay
PayPal

Pay with your PayPal balance, linked bank account, or card without sharing your card details with us. A PayPal account is not required — guest checkout is supported.

PayPal

Payment is charged at checkout — your card is only charged when you place your order.

We do not place a pending hold and charge later. At the moment you confirm your order and click “Place Order,” your selected payment method is charged for the full order amount. Your order confirmation email serves as your receipt.

PayPal: Available to customers in the United States. You may check out as a PayPal guest using your credit or debit card without needing a PayPal account. PayPal buyer protection applies to eligible purchases per PayPal's own policies.

Not accepted

We do not accept cryptocurrency, wire transfers, money orders, personal cheques, gift cards from other retailers, or cash on delivery. If you would like to discuss an alternative payment arrangement, contact us at info@vadilla.com.

Payment Security

Every transaction on vadilla.com is protected by industry-leading security standards. We use Shopify Payments and certified third-party processors — your card details are handled exclusively by these certified systems and never touch our own servers.

Every transaction is encrypted, authenticated, and processed by PCI DSS Level 1 certified payment providers.

Vadilla does not process card data on its own infrastructure. All payment data is handled exclusively by Shopify Payments and our certified payment processor. We never see, transmit, or store your full card number, CVV, or sensitive authentication data at any point.

SSL / TLS Encryption: All pages on vadilla.com are served over HTTPS with TLS 1.2+ encryption. All data transmitted between your browser and our servers is encrypted end-to-end.

PCI DSS Level 1: Shopify Payments holds PCI DSS Level 1 certification — the highest standard in the payment card industry.

3D Secure Authentication: We support 3D Secure (3DS) for card-not-present transactions where offered by your card network and issuer. When triggered, you may be redirected to your card issuer to verify your identity via Visa Secure, Mastercard Identity Check, or American Express SafeKey before the transaction is approved.

Fraud Detection: Our payment processor uses real-time machine learning fraud detection to screen every transaction. Some orders may require additional verification before fulfilment.

No card data stored

We do not store your full card number, CVV, or card expiry date after payment is processed. If you save a card for future purchases, only a secure payment token provided by the processor is stored — never the raw card data itself.

3D Secure — how it works: 3D Secure adds a second layer of authentication at checkout. Depending on your card network, you may see Visa Secure (formerly Verified by Visa), Mastercard Identity Check, or American Express SafeKey. You will be redirected to your bank's verification page to authenticate via a one-time code, app notification, or biometric. This adds no cost to your order.

Currency & Pricing

Vadilla serves customers throughout the United States. All prices are displayed and charged in US Dollars. The currency you see at checkout is the currency you will be charged in.

Currency — USD only: All prices shown are in USD, and your card or PayPal account will be charged in USD.

Foreign transaction fees: If your card is issued outside the United States or billed in a different currency, your bank or card issuer may apply a foreign transaction fee (typically 1–3% of the transaction amount). This fee is charged by your bank, not by Vadilla, and is outside our control.

Import duties & tariffs: All applicable U.S. import duties and tariffs on orders shipped from abroad are calculated and included in the displayed price at checkout. You will never be asked to pay additional customs charges on delivery.

Order Authorization & Capture

Understanding how Vadilla handles payment authorization and capture helps set expectations for what you see on your bank statement between the time you order and when your order ships.

Authorization holds: For some orders, Vadilla pre-authorizes your card at checkout. A pre-authorization is a temporary hold that verifies your card is valid and has sufficient funds, without yet transferring the money. During this period, the amount may show as “pending” on your statement for 1–2 business days.

When capture happens

  • Payment is fully captured (charged) when your order is fulfilled and dispatched
  • You will receive an order confirmation email at the time of authorization
  • You will receive a shipping confirmation email when capture occurs and your order ships
  • Capture typically occurs within 1–3 business days of your order being placed

What “pending” means on your statement: If you see a pending charge after placing an order, this is the pre-authorization hold, not a completed charge. Once your order ships and we capture payment, the pending charge becomes a completed transaction.

If your order is cancelled before it ships, your authorization hold will be released automatically.

We process cancellation releases as soon as the order is cancelled in our system. However, the time it takes for the hold to disappear from your statement is controlled by your bank, not by Vadilla.

Hold release timeline: Authorization holds are typically released within 3–5 business days after cancellation. Some banks may take up to 7 business days.
Already captured? If your order was cancelled after payment capture had already occurred, you will receive a refund to your original payment method. Refund timelines are detailed in Section 06.

Failed Payments

If your payment fails at checkout, your order will not be confirmed and no charge will be applied. Below are the most common reasons for payment failure and the steps you can take to resolve the issue.

Common reasons for decline

  • Insufficient funds: your card or account does not have enough balance
  • Card limit exceeded: the transaction exceeds your daily or transaction limit
  • Bank declined: your bank blocked the transaction for security reasons
  • Expired card: your card's expiry date has passed
  • Incorrect card details: card number, expiry, or CVV entered incorrectly
  • 3D Secure not completed: authentication step was cancelled or timed out

What to do

  • Double-check your card number, expiry date, and CVV and retry checkout
  • Confirm your billing address matches the address registered with your card issuer exactly
  • Try a different card or payment method
  • Use PayPal as an alternative payment method
  • Contact your bank to ask if they have blocked the transaction
  • If the problem persists, email us at info@vadilla.com
01

Re-check your card details

Go back to checkout and carefully re-enter your card number, expiry date, CVV, and billing address. Small typos are the most common cause of payment failure.

02

Complete 3D Secure if prompted

If your card issuer asks you to verify via Visa Secure, Mastercard Identity Check, or American Express SafeKey, complete the authentication step. Do not close the browser window during this step.

03

Try PayPal or a different card

If the same card continues to decline, switch to PayPal or a different credit or debit card.

04

Contact your bank

Some banks automatically block online transactions to unfamiliar merchants or flag first-time purchases as suspicious. Ask your bank whether they have placed a block on the transaction and request they approve vadilla.com as a trusted merchant.

05

Contact Vadilla

If you have tried the above steps and are still unable to complete payment, contact us at info@vadilla.com or call +1 (929) 200-3231. Include the email address you used to check out and a brief description of the error.

Bank fraud triggers — important note

Some banks automatically flag online purchases from merchants they haven't seen before as potential fraud. If your card is declined and your balance is sufficient, your bank's fraud prevention system may have intervened. A quick call to your bank's fraud department to confirm the transaction is authorised by you is usually all that is needed. No issue exists on our end when this occurs.

Refund Payments

When a refund is issued by Vadilla, it is always returned to the original payment method used at checkout. We cannot refund to a different card, bank account, or payment method than the one used to place the order. Refund and return eligibility is governed by our Returns & Refunds Policy.

Refund method — original payment only: Refunds are always issued to the same card or PayPal account used when the order was placed. If your original card has been cancelled or replaced since the time of purchase, your bank will typically route the refund to your new card or account — contact your bank to confirm this.

Credit & Debit Cards (Visa, Mastercard, Maestro, American Express, UnionPay): 5–10 business days after Vadilla initiates the refund. The actual credit appearance on your statement may lag by 1–2 additional business days depending on your bank's posting cycle.

PayPal: 3–5 business days after Vadilla initiates the refund. Refunds are returned to your PayPal balance.

Refunds go back to the original payment method — no exceptions.

We cannot process a refund to a card or account that is different from the one used to place the order. This is a security requirement of our payment processor. If you have closed the account or card used, contact your bank — most banks automatically route refunds to your replacement card or account.

Partial refunds: If only part of your order is refunded, the partial refund amount will appear as a separate credit on your statement alongside the original charge. You will receive an itemised refund confirmation email.
Refund not received? If 10 business days have passed since our refund confirmation email and you have not seen the credit, first check with your bank, card issuer, or PayPal. If they confirm nothing is pending, contact us at info@vadilla.com with your order number.
